Artificial Intelligence (AI) Usage Policy

This policy describes how “Lativa” Ltd., UIC 207949975, VAT No. BG207949975, located at Bulgaria, Sofia, 1 Petar Uvaliev St., operator of lativa.bg (“LATIVA,” “we”), uses systems and processes supported by artificial intelligence (“AI”). The policy complements our Terms of Service and Privacy Policy.

1. Where We Use AI

At lativa.bg, AI may be used to provide automated responses via LATIVA AI; assist with searching, comparing, and selecting materials; approximate quantity calculations and material kit assembly; general information about products, compatibility, availability, delivery, orders, and installation; preparation, structuring, editing, translation, or summarizing of content for the blog, product, category, and other informational pages; as well as detecting and correcting inaccurate or inappropriate responses.

2. Transparency and Human Contact

The interface clearly indicates that the user is interacting with “LATIVA AI,” not a human, and warns that responses are approximate. Use of the AI assistant is voluntary. Users may choose not to use it and instead contact our staff at office@lativa.bg or lativabg@gmail.com, by phone at +359 87 888 7643 and +359 87 777 2085, or via the contact form on lativa.bg.

3. Limitations of the AI Assistant

Responses and calculations are generated automatically and may be inaccurate, incomplete, or outdated. They are informational and assistive in nature and do not constitute a binding offer, acceptance or modification of an order, guarantee of price, availability, delivery time, quantity, or compatibility, nor do they represent design, engineering, architectural, construction, or installation opinions.

Before purchase or installation, please verify the current product page, written offer or order confirmation, project documentation, and official manufacturer instructions and warnings. Exact quantities, compatibility, applicability to the specific site, and safe installation should be confirmed by the LATIVA team and, when necessary, by a qualified specialist.

The AI assistant does not replace an on-site inspection and does not make independent decisions that have legal consequences or affect the user in any other similarly significant way. Nothing in this policy limits mandatory consumer rights or liability that cannot be limited by law.

4. AI-Assisted Content

AI may be used as a tool to assist in preparing, structuring, editing, translating, or summarizing content. LATIVA retains editorial responsibility for published materials. Before publication, content intended to assist with selection, quantities, compatibility, installation, or safety undergoes substantive human review of key claims, product features, sources, and manufacturer instructions.

When AI-generated or substantially modified content has not undergone human review and editorial control, or when required by law, its AI origin is clearly indicated at first display. AI-generated or substantially modified images, audio, or video that could be perceived as authentic are also marked in a suitably visible manner.

5. Personal Data When Using the AI Assistant

The data controller is “Lativa” Ltd. When using the AI assistant, the content of entered messages; voluntarily provided name, email, phone, order number, dimensions, or other project information; voluntarily sent images, files, or voice messages when the respective function is used; the page or product from which the conversation started; IP address, browser, device, session and technical identifiers; as well as date, time, and technical information about the interaction may be processed.

Data is processed to respond to inquiries, prepare approximate estimates, and assist before or in connection with a purchase – Article 6(1)(b) of Regulation (EU) 2016/679; for secure operation of the assistant, abuse prevention, quality control, and error correction – our legitimate interest under Article 6(1)(f); and for marketing or other follow-up communication only with separate valid consent when required.

Do not enter passwords, payment data, personal identification numbers, copies of identity documents, health information, or other sensitive and unnecessary personal data. Do not send images, plans, or recordings containing data about other persons without the necessary rights or permission.

6. Recipients and International Transfers

For the technical provision of the AI assistant, we may use external providers of AI technologies, cloud infrastructure, hosting, security, and technical support. They may process personal data as processors or subcontractors only to the extent necessary to provide, protect, and maintain the respective functionality and under applicable contractual and legal safeguards.

Some providers may process data outside the European Economic Area. When applicable, international transfers are carried out under appropriate safeguards, including adequacy decisions and/or European Commission-approved Standard Contractual Clauses and additional protective measures when required.

If you voluntarily choose an external communication channel, the message is also processed according to the terms and privacy policy of that channel.

7. Retention Period

Conversation records are stored only as long as necessary to respond to the specific inquiry, prepare or track an offer, ensure security, quality control, error correction, or protect legal rights, according to the settings of the used services, our Privacy Policy, and applicable law. After the purpose ceases, data is deleted or irreversibly anonymized when applicable. When the conversation is part of an order, offer, complaint, dispute, or exercise of consumer rights, the relevant information may be retained for the applicable legal period.

8. Your Rights

Under Regulation (EU) 2016/679, you may request access, correction, deletion, restriction, portability, or object to applicable processing. When processing is based on consent, you may withdraw it at any time.

Requests should be sent to office@lativa.bg or lativabg@gmail.com. You also have the right to lodge a complaint with the Data Protection Commission.

9. Reporting Inaccuracies

If you find an error, misleading response, incorrect calculation, or inappropriate AI-assisted content, you may request human review and correction at office@lativa.bg. Please specify the page or conversation, approximate date, and a brief description of the issue without sending unnecessary personal data.

10. Responsible Use and Human Oversight

We apply measures appropriate to the purpose and risk of the AI systems used, including human oversight of published content and final offers; periodic checks for inaccurate or misleading results; limited access to personal data; escalation rules to staff; and appropriate instructions for persons using or controlling AI systems.

We do not use AI for prohibited, manipulative, or discriminatory practices.

11. Changes and Contact

The policy may be updated when AI systems used, data processing, or legal requirements change. The current version and date of last update are published on this page.
